Lakeshore Technical College – Cleveland, Wisconsin
Provide administrative support and office management for the Associate Degree Nursing and Practical Nursing programs while maintaining the standards required for continued accreditation. Provide direct support for the Associate Dean of Nursing and oversee operations in the Associate Dean’s absence. Understand organizational core processes as they relate to department activities and college initiatives. Use college systems to obtain information for reports and in making decisions. Perform job responsibilities without direct supervision; maintain confidentiality and address all situations professionally. Provide outstanding customer service, high visibility and communications to all customers by promoting a positive image of the college internally and externally.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
(65%) Practical Nursing, Associate Degree Nursing, and Bridge Pathways Management
• Forecast student movement in the Nursing program to determine necessary clinical sections to ensure adequate instructor workload, effective budgeting, and continuing student progression.
• Manage external clinical site placement and security processes for each student at each clinical facility. Generate verification of student requirements being met as per facility protocol.
• Collaborate with clinical sites to receive clinical scheduling approval and for BID clearance for students.
• Aid enrollments through promotional activities and facilitation of tours of the Health Area Skills Lab.
• Coordinate and execute PN and ADN orientations, clinical registrations, and required Accreditation Commission for Education in Nursing (ACEN) reviews to include clinical visits and meetings with internal/external staff.
• Manage the intricate on-boarding of new students within the Nursing programs as per the requirements of the Nursing Student Handbook and ACEN.
• Analyze and extract quantitative and qualitative data using a variety of tools and sources to support the needs of ACEN.
• Create and maintain complex documents as per ACEN requirements and to aid in making program decisions.
• Comprehend the Nursing curriculum components to create class, simulation, and HESI exam schedules.
• Proctor, administer, score and interpret Nursing HESI exams; troubleshoot technology/testing issues.
• Collaborate with WTCS testing centers to facilitate HESI exams for our out-of-district students.
• Design, customize, and communicate online student sign-up process for each of the HESI exams and the clinical skills lab to faculty, lab manager/staff, and students each semester.
• Oversee faculty End of Program Student Learning Outcomes (EOPSLO) reporting required for meticulous record keeping of every pass and fail for program accreditation; track and record data.
• Coordinate and maintain program purchasing activities to include ordering HESI exams, professional subscriptions, and reports via purchase orders or credit card, preparing and processing all paperwork.
• Secure dates and external instructor for Hurst Live Review each semester. Provide support to external instructor while on campus to include addressing student issues and monitor student attendance to allow program progression.
(15%) General Program/Course Support
• Design and coordinate multiple program, instructor, and student schedules. Ensure accuracy. Troubleshoot and resolve conflicts that may arise at clinical sites between the PN, ADN, and NA programs.
• Coordinate class enrollment activities including the entering of class grades, management of wait lists, and monitoring of class enrollments.
• Manage the scheduling process.
• Collaborate with other instructional areas for course offerings and room scheduling.
• Utilize and maintain functional knowledge of current administrative software system within the institutional areas of responsibilities.
• Coordinate and support advisory committee meeting activities, program faculty meeting activities, and action items for assigned programs. Serve as division representative at college committee meetings as assigned.
• Advise student services staff on program schedules, content, regulations, and program handbook processes. Facilitate communication between program representatives, career coaches, advisors, enrollment, faculty, associate dean, and dean.
• Coordinate and maintain instructional materials with the bookstore and the copy center.
• Establish professional relationships with publishing company representatives and other external vendors, along with external college representatives scheduling table visits.
• Troubleshoot student and/or instructor problems/concerns while providing 5-star customer service to all LTC stakeholders.
• Train and support division staff on equipment, technology, and various internal and external processes.
• Provide coordination of curriculum development planning.
(10%) Work Administration
• Project preliminary staffing needs and coordinate work assignments for assigned program areas.
• Analyze, evaluate, and calculate instructional workload using current guidelines and procedures.
• Calculate and assign course payment using the teacher assignment process for part-time and full-time faculty.
• Assist associate dean and dean in new employee activities relative to hiring and training.
• Prepare payment for non-instructional activities.
• Manage the adjunct faculty recruitment and hiring process.
• Oversee division faculty licensures and certifications to ensure all are current; coordinate faculty registration in CPR renewals and other professional development as necessary.
• Assist Associate Dean of Nursing with budget development.
(5%) Student Advocate and Liaison
• Advise students in all stages on admissions, their academic progress, course availability, Hurst Live Review, graduation, the licensure application process, and the NCLEX process.
• Assist students with their educational needs.
• Resolve student concerns; work with all areas of the college to ensure that student needs have been met.
(5%) Grants Management and Special Projects Management
• Provide grant management data to assist Dean with reporting on program-related grants.
• Collaborate with external sources to arrange for student purchases through the grant for books, shoes, uniforms.
• Coordinate support for career pathway development process, new program development, and other special projects for assigned program areas.
• Extract and retain information for Technical Skills Attainment (TSA) reporting for both the Associate Degree Nursing and Practical Nursing programs.
Organize, delegate, and provide work direction, support, and training to office staff, work study, student help, student intern, and temporary part-time staff.

Education, Experience and/or Certificates, Licenses, Registration:
High school diploma or equivalent and related associate degree plus additional related college credits with two to three years recent related occupational experience.
