2nd Shift Health Unit Coordinator

Purpose and Summary

Perform clerical and technical duties related to the resident clinical record and the EMR on the nursing units and in the Health Information Services office under the direction of the HIS Director and/or licensed nursing staff.

Provide comprehensive nursing care to residents by performing routine and simple tasks under the direction of licensed nursing staff.

Essential Duties

Health Information Secretary (including but not limited to):

  • Perform functions related to record maintenance (paper and/or electronic) on the nursing station and in Health Information Services office including but not limited to scanning, filing, and thinning

  • Transcribe medical orders (written or electronic)

  • Schedule resident appointments/transportation, notify responsible persons, prepare necessary paperwork

  • Provide weekly quality assurance reporting on appointments, assuring all related information has been received and/or requested

  • Receive and distribute incoming/outgoing mail for physicians and nursing 

  • Prepare documents for admissions, readmissions, transfers, and discharges

  • Answer telephone and assist visitors in a professional, pleasant manner

  • Maintain organized nursing station and personal cubicle

  • Perform qualitative and quantitative review of resident clinical records following discharge

  • Participate in continuous quality improvement activities as assigned

  • Monitor physician visits

  • Stock unit with office supplies and forms

  • Provide backup support on transportation to the Life Enrichment department as necessary

  • May perform other duties or responsibilities as needed

 

C.N.A. (included but not limited to):

  • Assist or perform activities of daily living including but not limited to bathing, dressing, toileting, eating, grooming, changing linens, tidying room

  • Communicate resident needs/problems/concerns with licensed nursing staff

  • Follow resident care plan

  • Answer call bells/lights, alarms in a timely manner

  • Answer telephone and assist visitors in a professional, pleasant manner

  • Clean wheelchairs, other equipment, and units as needed and as assigned

  • Complete appropriate documentation via EMR

  • May perform other duties or responsibilities as needed

 

Qualifications

Education & Certification:

  • High school diploma or equivalent.

  • Completion of a Health Unit Coordinator or Patient Services Specialist certification program.

  • CNA certification (Wisconsin) preferred; required within 6 months if CNA duties are part of the assigned role.

Knowledge, Skills & Abilities:

  • Strong communication skills and ability to work cooperatively with all team members.

  • Excellent organizational ability and clerical skills.

  • Proficiency in computer use, EMR navigation, and data entry.

  • Knowledge of medical terminology, abbreviations, and documentation standards.

  • Ability to comply with federal, state, and facility regulations.

  • Ability to plan ahead, prioritize, and manage multiple tasks.

  • Strong customer service and professional telephone etiquette.

  • Demonstrated integrity, adaptability, and responsible decision-making.

 

Work Environment & Physical Requirements

  • Work performed primarily in an office or nursing-unit environment.

  • Frequent sitting, standing, walking, and light lifting (up to 20 lbs).

  • Must be able to operate standard office equipment (telephone, computer, fax, scanner, printer).

  • Risk of bloodborne pathogen exposure is considered low for clerical assignments; exposure risk may increase when performing CNA duties.
